About the Role:
We are seeking an experienced and highly organized Office Manager to oversee the operations of our medical clinic, which houses three commonly owned clinics under one roof. This role combines clinical operations management with business office administration, ensuring our clinics run smoothly, efficiently, and in alignment with our commitment to excellent patient care.
Key Responsibilities:
  • Oversee operations to ensure efficiency and effectiveness.
  • Manage and supervise clinic staff, fostering a positive and productive work environment.
  • Maintain office and medical supply inventory, placing orders as needed.
  • Track clinic expenses and manage budgets to ensure cost efficiency.
  • Process payroll accurately and on time.
  • Lead HR-related functions, including hiring, onboarding, employee relations, and performance reviews.
  • Coordinate travel arrangements for staff and leadership as needed.
  • Supervise billing and collections processes, ensuring timely and accurate claims submission and payment posting.
  • Develop and maintain office policies and procedures to ensure regulatory compliance and operational efficiency.
  • Assist with financial reporting, including oversight of the billing teams ensuring monthly statements and variance reports are distributed.
  • Support patient relations by handling escalated concerns in a professional and timely manner.

Qualifications:
  • Previous experience in clinic management, healthcare administration, or business office management.
  • Strong leadership and organizational skills.
  • Knowledge of medical billing, credentialing processes, and HR best practices.
  • Proficiency in office software and medical practice management systems.
  • Excellent communication, problem-solving, and financial management abilities.
